HomeMy Public PortalAboutCouncil Equipment (Information Technology) COUNCIL Page 1 of 2 POLICY Effective Date: July 11, 2017 Section: Corporate Title: Council Equipment (Information Technology) 1.0 POLICY STATEMENT To effectively perform the duties of their offices, Council will be provided with equipment (information technology) to assist in accessing agendas, email and other information. 2.0 GENERAL This policy outlines the equipment provided to Council and the process for disposal/purchase by non-returning Council members. 3.0 PROCEDURE a) Council members will be provided with the following equipment in order to facilitate performance of their duties of Council: a. IPAD For the 2018-2021 Term, Council will be provided with the following equipment in order to facilitate performance of their duties of Council: a. IPAD b. Smart Phone (Mayor) b) All equipment remains the property of the Town of Oliver. c) When a Council member is not returning to the Town’s Council at the end of their term, they will be provided with an option to purchase the equipment at fair market value as determined by the Chief Financial Officer. d) The Smart Phone is not included in the purchase plan. Council Equipment (Information Technology) Page 2 of 2 4.0 RESPONSIBILITIES Users are responsible to ensure the devices are managed and used cost effectively, safely and appropriately. a) Lost, stolen or damaged devices are reported to the CFO immediately. b) Showing due care for the devices in their possession. 5.0 RECORDS The Town’s Records Management Policy applies to the devices. Devices are subject to the requirements of the Freedom of Information and Protection of Privacy Act, and access to the devices may be requested by the Head of FOI at any time.
